SDS authoring software: how to choose in 2026

Eight criteria that separate compliant SDS software from expensive document editors, with a scoring checklist you can use in any demo.

Key takeaways

  • Good SDS software calculates CLP classification from the composition; it does not ask you to type it in.
  • H, EUH and P statements must come from the official legal texts of each language, not from machine translation.
  • The document language and the target country are two different things: the country decides Sections 1.4, 8 and 15.
  • Compare the cost per finished SDS including translations and updates, not the licence fee.
  • Run every candidate on one of your own products before you sign anything.

Who actually needs SDS software?

Under REACH Article 31, every supplier that places a hazardous substance or mixture on the EU market must give its customers a safety data sheet. That covers manufacturers, importers, formulators, private-label brands and distributors who relabel or repackage products.

A handful of products can be handled by a consultant. Software pays off once one of these is true: you have more than a few products, you sell into several EU countries, or your sheets need regular updates after composition or legal changes. In practice, most companies reach this point when they start exporting.

1. It calculates CLP classification, it does not copy it

The core of an SDS is Section 2. For a mixture, classification comes from the ingredients through the CLP rules: additivity formulas, generic and specific concentration limits (SCLs), M-factors for aquatic toxicity and the bridging principles. A tool that only lets you type the H-codes is a document editor, not SDS software.

Ask the vendor to show the calculation trail for a real mixture. You should be able to see which ingredient pushed the mixture over which threshold.

2. It applies harmonised classifications automatically

Several thousand substances have a legally binding classification in CLP Annex VI. These entries, including their SCLs, M-factors and notes, must be applied exactly. Every Adaptation to Technical Progress (ATP) changes the list, so the data source and its update rhythm matter more than the user interface.

Check how the software handles a CAS number with several Annex VI rows, and whether annulled entries are excluded. These are the cases where spreadsheets and generic tools silently go wrong.

3. Official phrase texts in every language

H, EUH and P statements have one official wording per EU language, published in the CLP annexes. An auditor or customer will notice a paraphrased hazard statement immediately. Ask where the phrase catalogue comes from and how languages without an official text are handled.

4. Language and target country are kept separate

A German-language SDS for Austria is not the same as one for Germany. The language sets the wording, while the target country sets the legal content:

SectionWhat changes with the country
1.4 Emergency telephoneNational poison centre or emergency service number and opening hours
8.1 Control parametersNational occupational exposure limits and their legal source
13 DisposalNational waste legislation references
15 Regulatory informationNational laws (water hazard classes, VOC rules, worker protection)

Good software asks for both and fills these sections from country data. Weak software translates the source country's legal references into the new language, which produces an SDS that cites the wrong country's laws.

5. It can start from the SDS you already have

Most companies do not start from zero. They have supplier SDSs, old in-house versions or sheets from a previous consultant. Check whether the tool reads an existing PDF, keeps correct original wording, and changes only what the update or the target country requires. Re-typing sixteen sections is where most of the hidden cost of SDS work sits.

6. Transport data follow from the classification

Section 14 needs the UN number, proper shipping name, class and packing group under ADR. Transport classification is a separate system (UN Model Regulations, ADR/RID/ADN, IMDG, ICAO-TI): it must be consistent with the CLP classification, but it does not follow from it automatically. Software should propose the entries from the current ADR tables, and a competent person confirms them.

7. Every section stays visible and editable

The supplier is responsible for the SDS, not the software vendor. A competent person must be able to read and correct every field before the PDF is released, and the system should keep earlier versions instead of overwriting them.

8. A price you can calculate per finished SDS

There are three common pricing models: an annual licence, a monthly subscription with product or language limits, and a price per finished SDS. Licences often look cheap until you add language packs, extra users and minimum terms. Always convert the offer to cost per product per language.

SDS Studio™ uses the third model: €59 + VAT per SDS, per product and language, with no subscription. Every company can run one full project free, without a card, before paying anything.

Demo checklist: score each vendor

Bring one real, slightly complicated mixture to every demo and tick what you actually see working:

  • CLP mixture classification is calculated and the trail is visible.
  • Annex VI harmonised data, SCLs and M-factors are applied automatically.
  • Physical hazards are not inherited blindly from ingredients.
  • H, EUH and P texts are the official wording in each language.
  • Target country is chosen separately from the document language.
  • An existing SDS PDF can be imported and kept where correct.
  • Section 14 ADR data is proposed from the classification.
  • Every section can be edited and earlier versions are kept.
  • You can state the cost of one finished SDS in one language.

A tool that scores seven or more is worth a real pilot. Below five, you will end up doing the regulatory work by hand anyway.

Frequently asked questions

Is SDS software enough without an expert?

Software applies the rules and data consistently, but the supplier remains responsible. A competent person should review each SDS before release, especially for unusual products.

Can I try SDS Studio before paying?

Yes. Each company gets one full project free without a card. You pay only when you unlock the finished PDF.

How many languages does SDS Studio support?

28 languages, combined with the legal requirements of the selected EU target country.

Can I update supplier SDSs instead of writing new ones?

Yes. SDS Studio reads an existing SDS, keeps correct original wording and updates it to current REACH and CLP rules.
